KanbanWP FAQ

Straight answers to the questions we hear most.

General

What is KanbanWP?

A kanban board plugin for WordPress. You create boards in your admin, move task cards through stages, and share work with your team and clients. See the feature list.

Is it the same as the old “Kanban for WordPress” plugin?

No. KanbanWP is a new plugin under new ownership, written from scratch. The older plugin was closed on WordPress.org in 2024. KanbanWP shares no code with it and uses its own database tables.

How much does it cost?

Nothing. The plugin is free, with no license key, no subscription and no paid tier. It is released under GPLv2 or later.

What do I need to run it?

WordPress 5.8 or higher and PHP 7.4 or higher. See Download.

Migration

Can I migrate from the old plugin?

Partly, on a best-effort basis. The old plugin used a different data structure. KanbanWP includes an importer that looks for leftover data from it in your database and turns boards and cards into boards, stages and tasks. Results depend on what is still stored. See importing from the previous plugin. If the old data is gone, you can rebuild boards by hand or script an import with the REST API.

Can I import from Trello or a spreadsheet?

Yes. KanbanWP imports Trello JSON exports, CSV files and its own JSON exports. See importing from Trello.

AI and MCP

Do I have to pay for the AI features?

KanbanWP does not charge for them. AI uses your own API key from OpenAI, Anthropic, Google Gemini or an OpenAI-compatible service. You pay your provider for what you use. KanbanWP adds no markup and has no payment gateway.

How do I control AI costs?

Set a monthly token cap per user, limit AI to specific roles, or leave AI switched off by not adding a key. Every AI call is logged on a usage screen. See usage and limits.

Is my AI key safe?

The key is stored on your site and is used only in requests from your server. It is not printed into pages or sent to the browser. Anyone with administrator access to your site can still manage it, so protect your admin accounts.

What is MCP?

MCP, the Model Context Protocol, lets AI agents such as Claude, Cursor or Codex connect to your boards. KanbanWP includes an MCP server that can list boards, read tasks, create and update tasks, move cards and add comments. It is off until you enable it and generate a token. There is no delete tool. See connecting an agent.

Can an agent see everything?

An MCP token gives access to every board, so treat it like an admin key and rotate it if it leaks. Every agent call is recorded in the activity log with the agent’s name.

Data and privacy

Where is my data stored?

In your WordPress database, in tables with the kwp_ prefix. Nothing is sent elsewhere unless you set up an integration, such as an AI provider, Slack, Discord or a webhook. See the privacy policy.

What happens when I uninstall the plugin?

By default, your data is kept. Deleting the plugin does not remove your boards and tasks. If you turn on Delete data on uninstall in Settings, uninstalling removes the plugin tables, its settings and its scheduled tasks. Export first if you are not sure.

Can I export my data?

Yes. You can download all data as JSON, export a single board as JSON, and export report data as CSV.

Teams and clients

Can clients see my boards?

Only boards you add them to. Give a user the client role on a board and they see non-internal tasks and comments, and can comment. Internal tasks and comments stay hidden. You can also turn on read-only public links, which you can revoke. See client portal.

What roles are there?

Four board roles: admin, member, viewer and client. See permissions and roles.

Do boards update live for everyone?

KanbanWP does not promise real-time live updates. Reload a board to be sure you are seeing a colleague’s latest changes.

Integrations

Does it work with WooCommerce?

Yes. You can choose a board and stage so that new orders create tasks, and newly published products can create tasks too. See WooCommerce.

Does it work with my form plugin?

Any form plugin that lets you run code on submission can create tasks through the kanbanwp_form_submission action. See forms.

Can I embed a board on a page?

Yes, with the [kanbanwp_board] shortcode or the KanbanWP block. See embedding boards.
