WooCommerce integration

Create a KanbanWP task automatically for every new WooCommerce order and every newly published product, on the board and stage you choose.

If WooCommerce is active on your site, KanbanWP can turn store activity into cards. This is useful for fulfillment boards, support follow-up and product launch checklists.

What it does

There are two separate mappings. You can use one, both or neither.

New orders. When WooCommerce creates a new order, KanbanWP creates a task whose title is the order number followed by the billing name, for example Order #1001 and the customer’s name. If the billing name is empty, the billing email is used instead. The description contains:

  • the order total,
  • a list of items with quantities,
  • a link to the order in the WordPress admin.

New products. When a product is published for the first time, KanbanWP creates a task titled New product: <product title>. The description holds the SKU, the price and a link to the product.

Only new things trigger a card. A later change in order status, or an update to an already published product, does not create another task and does not move the existing one.

Set it up

  1. Make sure WooCommerce is installed and active.
  2. Go to KanbanWP > Settings and open the Integrations tab.
  3. Next to WooCommerce orders, choose a board and then a stage. New orders will land in that stage.
  4. Next to WooCommerce products, choose a board and stage for newly published products.
  5. Save the settings.

To turn a mapping off, set its board back to none and save. When no board is selected, nothing is created.

If you pick a board but no stage, the card goes into the board’s first stage.

Each created task is linked to its order or product. KanbanWP stores the task ID on the order or product, and the task keeps a reference to the post it came from. That link is also used to avoid duplicates: if an order or product already has a task, a second one is not created.

You can see the origin of a card in its description link. Activity entries on the board record that the task came from a WooCommerce order or product.

Tips

  • Use a dedicated board for orders, with stages that match your process, for example New, Packing, Shipped.
  • Give the order stage a WIP limit if you want a visible cap on how much work is in progress.
  • Combine this with Slack or Discord alerts so your team hears about new cards. Those alerts fire on task creation, so each new order posts a message.
  • Orders are only picked up from the moment you enable the mapping. Existing orders are not imported.

Limits

  • Only the order and product events described above are supported. There is no mapping for refunds, subscriptions or stock changes.
  • The task priority is always normal, and no assignee is set. Assign people on the board.
