KanbanWP controls access in two layers: what a person can do in the plugin overall, and what role they hold on each board.
Plugin-level access
The WordPress capability kanbanwp_manage marks a plugin administrator. A plugin administrator can reach every board and is treated as a board admin on boards where they have no explicit membership. Settings are covered in settings.
Board roles
Each person you add to a board gets one role on that board. There are four: admin, member, viewer and client. The same person can have different roles on different boards. Roles decide whether they can view, comment, edit or manage. The full table is in permissions and roles.
Sharing with people outside your team
- The client role gives a logged-in user the ability to see a board and comment, without editing it, and without seeing internal tasks or comments. See the client portal.
- Public links let anyone with a secret link see a read-only snapshot of a board without logging in. They are off by default. See public links.
Adding people to a board
People must already have a WordPress user account. Open the board and use Manage members, which is available to board admins. Enter a user ID or email address, choose a role, and add them.
Choosing the right way to share
Use board roles for your own team and for clients with accounts. Use a public link only when the person has no account and a read-only snapshot is enough. Combine either option with internal-only tasks and comments to keep private notes on the same board.
