KanbanWP can notify people inside WordPress and by email.
In-app notifications
A KanbanWP bell with an unread count appears in the WordPress admin bar when you are logged in. It checks for new items about once a minute. Its menu lists your five latest notifications; select one to open the task. Choose Mark all read to clear the count.
What triggers a notification
- Assigned to you: someone assigns you a task. You aren’t notified about assigning yourself.
- Mention: someone @mentions you in a comment on a board you can view.
- Comment: someone comments on a task you’re involved with. That means assignees, watchers, the task’s creator and earlier commenters.
- New task and task moved: people involved with a task hear when it is created or moved to another stage.
You never get a notification for your own action. Notifications only go to people who can view the board.
When email notifications are on, each in-app notification is also sent by email through wp_mail, with the subject starting “[KanbanWP]” and a link to the task. Delivery depends on your site’s mail setup. If emails don’t arrive, check your mail configuration or an SMTP plugin.
Digests
A digest bundles up reminders into one email per person, daily or weekly. Each digest lists:
- Your unfinished tasks that are overdue, and tasks due in the next seven days.
- Recent comments on tasks you’re assigned to.
People who aren’t a member of any board are skipped. Nobody gets an empty digest. Digests are sent at the time you set, using WordPress cron. Weekly digests go out on Mondays.
Configure notifications
An administrator opens the KanbanWP settings and goes to the Notifications tab. The options are:
- Email notifications: send email for notifications.
- Digest frequency: Daily, Weekly or None.
- Digest time: the time of day to send, for example 08:00.
- Notify me about: switches for task assignment, mentions in comments and new comments.
- Slack webhook URL and Discord webhook URL: post events to a chat channel. See Slack and Discord.
Settings apply to the whole site, not to individual users. Per-user preferences don’t exist.
