Permissions and roles

The four board roles in KanbanWP (admin, member, viewer, client), exactly what each can do, and how the kanbanwp_manage capability fits in.

Access in KanbanWP is decided per board. Every person who works on a board has one of four roles on it.

Board roles

The role maps to four abilities: view, comment, edit and manage.

RoleViewCommentEditManage
AdminYesYesYesYes
MemberYesYesYesNo
ViewerYesNoNoNo
ClientYesYesNoNo

In plain terms:

  • View means seeing the board, its tasks and its comments.
  • Comment means posting comments and reactions on tasks.
  • Edit means creating and changing tasks, moving cards and archiving tasks.
  • Manage means board administration: managing members, deleting tasks, and creating or revoking the board’s public link. The Delete task button is shown only to people who can manage.

Internal tasks and comments

Only admins and members can see tasks and comments that are marked internal. Viewers and clients never see them, and only admins and members can create them. See internal-only tasks.

Plugin administrators

WordPress users who have the kanbanwp_manage capability are plugin administrators. If a plugin administrator has no membership on a board, they are treated as an admin of that board. If they have an explicit membership, that role applies instead. People without the capability and without a membership have no access to the board at all.

Add people to a board

  1. Open the board.
  2. Use Manage members in the board header (admins only).
  3. Enter a user ID or email address of an existing WordPress user.
  4. Choose a role and select Add member.

To change a role, use the role menu beside the person’s name. To remove someone, select the ×. A board always keeps at least one admin.

The members menu labels the choices Admin, Editor, Commenter and Viewer.

Choosing a role

  • Give your core team the member role.
  • Give admin to the few people who manage membership and clean-up.
  • Use viewer for stakeholders who only need to watch progress.
  • Use client for customers who should see progress and reply, but not change anything. See the client portal.
