AI providers and API keys

Connect KanbanWP to OpenAI, Anthropic, Google Gemini or an OpenAI-compatible service, set the model, test the key and tune prompts.

KanbanWP talks directly to the AI provider you choose, using your own API key. Settings live in two tabs: AI for the connection and AI Prompts for style preferences.

Choose a provider

Go to KanbanWP > Settings and open the AI tab.

  1. Pick a value for AI provider:
    • OpenAI
    • Anthropic
    • Google Gemini
    • Custom (OpenAI-compatible, for example OpenRouter)
  2. Paste your key into API key. The key is stored on your site only. After you save, the field stays empty and shows that a key is saved. Leave it empty to keep the current key.
  3. Optionally fill in Model. If you leave it empty, KanbanWP uses a default for the provider: gpt-4o-mini for OpenAI, claude-haiku-4-5 for Anthropic and gemini-2.0-flash for Gemini. Provider model names change over time, so type a current one if you want a specific model.
  4. Click Save.

Custom providers

Choose Custom to use any service that offers an OpenAI-style chat API. A Base URL field appears. Requests go to your base URL followed by /chat/completions, for example https://openrouter.ai/api/v1. A model name is required for a custom provider, such as openai/gpt-4o-mini on OpenRouter.

Test the connection

Click Test connection on the AI tab. It sends a tiny request using the values currently in the form, so you do not need to save first. If the API key field is empty, the saved key is tested. The result appears next to the button. Test requests do not count against the token cap or the usage log.

If the test fails, check the key, the model name and, for custom providers, the base URL.

How prompts work

Every feature has two parts to its instruction:

  • Built-in core. This says what the model must do and, where needed, the exact output format, such as JSON for tasks. It cannot be edited, so the plugin can always read the result.
  • Your preferences. Text you add on the AI Prompts tab, appended to the core.

On the AI Prompts tab, All AI features is added to every feature. Below it is a box for each feature: text to tasks, task breakdown, task summary, post outline, post draft, post SEO, weekly and daily board summaries, generate board, and friendly and professional client updates. Both your global text and the feature text are appended, in that order.

Use these boxes for tone, language, length and style, for example “Write in British English and keep titles under eight words.” The grey text in each box is an example only. An empty box adds nothing. For features that return JSON, the format stays fixed no matter what you write.

Keep your key safe

  • Use a key created just for this site, with a spending limit set at the provider.
  • Rotate the key at the provider if you suspect it leaked, then paste the new one.
  • Only people who can open KanbanWP settings can change it.
