KanbanWP keeps the conversation on the card, so context stays with the work.
Comments
Open a task and scroll to Comments. Type in the “Write a comment…” box and select Comment. Comments are listed oldest first.
- You need the admin, member or client role to comment. Viewers can read but not post.
- You can edit your own comments. Board admins can also edit or delete other people’s comments.
- Select React under a comment to add an emoji reaction.
@mentions
Type @ in the comment box and a list of board members appears. Pick a name to insert the mention. The mentioned person gets a notification, as long as they have access to the board and mention notifications are enabled. See notifications.
Internal-only tasks and comments
Some notes shouldn’t reach clients. KanbanWP has two ways to keep things private:
- Internal only task: tick Internal only in the task panel. The task is hidden from viewers and clients, and it is left out of public links.
- Internal comment: tick Internal under the comment box before posting. The comment is visible only to admins and members, even on a task clients can see.
The checkbox appears only for admins and members. If someone without that access tries to mark something internal, it is ignored. Internal items carry a lock badge so your team can spot them. See permissions and roles.
Activity feed
Each board keeps a history of changes. Open a task and look at the Activity section at the bottom to see recent actions on that task, who did them and when. Activity is added automatically, and you can’t edit it.
Watching a task
Select Watch in the panel header to get notified about a task you aren’t assigned to. Assignees, the creator and anyone who has commented are also notified of activity.
Good habits
- Use comments for decisions, and the description for the stable facts.
- Mention the one person who needs to act, rather than the whole team.
- Use internal comments for pricing or opinions you don’t want clients to read.
