Embedding boards

Show a KanbanWP board on any page of your site with the kanbanwp_board shortcode or the KanbanWP Board block, and learn who can see it.

You can put a board on a regular page or post of your site, so people who do not use the WordPress admin can still work with it. This is how board members, such as clients, reach a board.

Use the shortcode

Add this shortcode to a page, post or any shortcode-friendly block:

[kanbanwp_board id="12"]

Replace 12 with your board’s ID. The ID appears in the address of the board screen, as the board value in admin.php?page=kanbanwp-board&board=12.

If the ID is missing, the page shows “KanbanWP: missing board ID.” If no board has that ID, it shows “KanbanWP: board not found.”

Use the block

In the block editor, insert the KanbanWP Board block (in the Widgets category). In the block settings, pick the board from the Board dropdown. A View dropdown (Kanban, List or Calendar) is also offered. The block renders the board on the front end of the site.

Who sees what

The embedded board is the same app you get in the admin, with the same views, filters and task panel. What a person can do depends on their board role.

  • Logged-in users who are members of the board see the full board. If they only have the Viewer role, the board is read-only.
  • Administrators can always see it.
  • Logged-in users who are not members see “You do not have access to this board.”
  • Logged-out visitors see “Please log in to view this board.” with a login link, unless they arrive through a public link.

Internal-only tasks and comments are hidden from users who are not allowed to see them, such as clients.

Client portal embedding can be switched off with the portal setting. When it is off, the board is not shown to logged-in members either.

If you turn on Allow boards to be shared via public links in KanbanWP > Settings, a board can be opened by a visitor who has the link and its token. That visitor gets a read-only snapshot with no internal tasks or comments. See Public links.

Tip: use a full-width page

A board needs room for its stages. Use a full-width or blank page template, or a layout without a sidebar, and avoid narrow content columns. If your theme caps the content width, set the page to full width before you embed the board.
